Standard Meeting Room Use Guidelines
For Tenants of the Schwartz Reisman Innovation Campus (SRIC).
Welcome to SRIC! To ensure fair, respectful, and consistent use of our shared meeting rooms, we ask all tenants to review and follow the guidelines below. These shared spaces are designed to support day-to- day meetings in a collaborative and professional environment.
Booking & Room Access

Advance Booking Required
All rooms must be booked in advance via the EMS WebApp. Walk-ins or informal use of empty rooms is not permitted.
Booking Access
Only designated booking delegates may reserve rooms through the system.
Same-Day Bookings
Same-day bookings are permitted based on availability.
Booking Duration
Standard Rooms can be reserved in 1-hour increments. Maximum time limits have been removed, but we encourage all tenants to be considerate of others.
Display Panels
Check the display panel outside each room before entering. If the panel is red, the room is in use.

Appropriate Use
Meeting rooms are intended for internal meetings, small group discussions. They are not to be used as private offices or for all-day occupancy.
Quick Meetings Encouraged
These spaces are ideal for short meetings. For longer bookings or external-facing sessions, please use a Premium Boardroom or Event Space via Campus Events.
Cancel if Not Needed
If your meeting ends early or is cancelled, please update your reservation to free up the room.

Respect Room Capacity
Do not exceed the posted maximum occupancy. This ensures safety, comfort, and ventilation standards.
One Room at a Time
Avoid booking multiple rooms simultaneously or reserving backups. Reserve only what you intend to use.
Do Not Move Furniture
Chairs, tables, and whiteboards must remain in their assigned rooms and positions. Moving furniture disrupts other bookings and may violate safety codes.
Clean Up After Use
- Remove all personal items and trash.
- Dispose of food waste in kitchen receptacles—not in the meeting rooms.
- Wipe down surfaces if needed.
- Leave the room ready for the next user.
Noise Awareness
Keep volume to a minimum, especially when doors are open or near open work areas.
Need More Space?
If your group exceeds the standard room capacity or you’re hosting an external guest, training session, or special meeting, contact the Campus Events Team to book a Premium Boardroom or larger event space.
Consequences of Non-Compliance
To maintain fair access and a professional environment for all tenants, repeated or serious violations of these guidelines may result in the temporary suspension of booking privileges for your organization. We appreciate your cooperation in respecting the shared nature of these resources.
